Client Case Study
We built and executed an Entrepreneur Summit for one of the worlds preeminent professional services firms in 2020 (Virtually) & 2022 (In-Person) which included close to 1,000 attendees and featured 3,000 1:1 meetings across 36 countries.
THE CHALLENGE
At the height of the pandemic in 2020, a well-known global professional services firm approached us with a request to help them convert their annual Entrepreneur Summit with 1,000 attendees and more than 3,000 1:1 meetings between investors and entrepreneur companies across 36 countries from an in-person event to a virtual one.
When 2022 came around, the firm wanted to pivot back to a fully in-person Summit, but they were so pleased with the success of their virtual event in 2020, they wanted to replicate many of the same features and integrate both the hardware and software used for the virtual Summit in 2020.
THE SOLUTION
When faced with the difficult challenge of converting a massive meeting space facilitating 1:1 meetings for over 1,000 people every 20 minutes in a virtual environment, we were able to identify and integrate the best solutions without compromising any critical components in either environment.
We provided a robust platform and managed the invitation, registration and communication processes along with the 1:1 meeting requests and scheduling. The summit in 2022 also involved providing the equipment that seamlessly connected with the platform.
HOW WE DID IT
Platform Identification
We identified the platform that worked best for the client needs: end-to-end event hosting plus a robust meeting scheduler software including invitations and registrations.
Meeting Schedule
The platform interface enabled capturing meeting requests from attendees, devising investor-entrepreneur company pairings and finally the customized schedules of attendees based on client specified parameters and algorithm.
Microsite Build
Along with providing the build capability on the platform, we facilitated the microsite build.
Project Management
We managed the project to ensure it progressed as per schedule without hiccups.
Communication
We devised the communication strategy and timelines. This included drafting the content, finalizing the emailers and sending them to the attendees.
Hardware/Software for In-Person Event
For the Summit in 2022, we provided the badging and schedule printing kiosks and software for real time printing.
